The KPIs Every Senior Living Operator Should Know for Success

Running a senior living community is one of the most rewarding—and demanding—jobs in real estate and healthcare combined. Occupancy & Census

Occupancy drives everything—your revenue, staffing ratios, and margin. Track your Move-In/Move-Out Ratio weekly; above 1.0 means you're growing, below 1.0 you're losing ground. Also watch your Lead-to-Move-In Conversion Rate. A healthy range is 15–25%. Low conversion with strong lead volume usually points to the touring experience, not marketing.

Revenue Performance

Base rent is just the start. On annual rate growth, don't wait too long—operators who avoid increases for years out of kindness end up forcing painful jumps on families. A consistent, transparent annual increase is the kinder approach.

Operational Efficiency

Labor is 60–70% of your operating costs, so workforce discipline is everything. Keep Labor Cost as a % of Revenue between 55–65%—above 70% and positive cash flow becomes very hard to achieve. Your NOI Margin should hit 30%+ for independent living; memory care will run lower due to staffing ratios.

Quality & Resident Experience

Quality and financial performance move together. A Resident NPS above 50 is strong; above 70 is exceptional. Survey families separately too—they often drive move decisions. On safety, target a Fall Rate below 5.0 per 1,000 resident days and review anything above 8 immediately.

Workforce Health

Turnover runs 60–100% industry-wide and costs thousands per departure—plus the relationship disruption to residents. Prioritize retention through recognition and flexibility. Keep Time-to-Fill under 21 days for care roles, and survey your team with eNPS regularly. A happy team and happy residents go hand in hand.

Putting It All Together

The goal is to know the what KPIs really matter for your community and review them consistently. Metrics only work if someone is accountable for acting on them. A number nobody reviews isn't a KPI, it's just data.
